As Zola scaled its eCommerce platform, the finance team faced a massive workload—processing more than 600,000 invoices annually. Managing approvals and payments manually was unsustainable, and the company needed a scalable infrastructure to keep up without dramatically increasing headcount.

Solution

Zola implemented Tipalti to automate its end-to-end AP workflow, from vendor onboarding to invoice processing and payments. By integrating directly into their Intacct ERP system, Tipalti enabled faster processing, automated reconciliation, and gave vendors more payment options while strengthening vendor relationships.

Results

With Tipalti, Zola automated bill processing for hundreds of thousands of invoices, accelerated month-end close, and avoided the cost of building out a large AP team. The AP function now runs with just two people instead of the ten that would otherwise be required.

However, managing payments for this fast-growing marketplace created major challenges.

Initially, Zola used Bill.com to streamline operations, but with payments doubling, invoice approvals and payment processing still consumed significant time each week.

Last year, we processed more than 600,000 invoices. And this year, volumes are increasing, so being able to keep up with this workload without adding headcount was the need of the business. We needed to build a scalable infrastructure to avoid having to hire a large AP staff.

Automating AP End-to-End With Tipalti

To future-proof its AP operations, Zola implemented Tipalti to automate its invoice-to-pay process. Vendors now onboard seamlessly, choose their payment methods, and benefit from more transparent financial operations.

Tipalti’s OCR technology automatically extracts and codes invoice data, while EDI submissions containing hundreds or thousands of invoices are processed instantly. Monthly close is also faster thanks to Tipalti’s reconciliation reporting, which integrates directly with Intacct.

Our vendors are the heart of our business. The home goods market is a word-of-mouth industry. It's really important for us to have great relationships with our vendors, because that can make or break references to other new vendors that we want to work with.
