Receiving Payments Through Tipalti

Whether you’re setting up your payment profile, tracking a payment, or updating your banking information, this guide answers the most common questions from people receiving payments through Tipalti.

Tipalti helps companies send payments to payees, but some parts of the process, such as invoice approval, payment timing, and payment amount, are controlled by the company paying you (the payer).

Setting Up Your Payment Profile

How do I set up my payment profile?

During setup, you’ll complete sections for your contact details, payment information, and, if required, tax information. Your profile will remain unpayable until all required sections are complete.

Enter your legal name, address, and bank details carefully. In some cases, the country associated with your bank account may need to match the country listed in your profile. If your bank is located in a different country, contact your payer to confirm whether that option can be enabled.

Tipalti does not accept P.O. box or c/o addresses, except for APO/FPO military addresses.

What information do I need to receive a payment?

Before you can receive a payment, it’s helpful to have the following ready:

  • Your legal name or business name
  • Your business information, if you’re being paid as a company
  • Your address
  • Your banking information or payment method, such as PayPal or another supported method in your country
  • Your tax forms or tax details, such as W-9, W-8, or VAT

The exact fields may vary based on your country, entity type, and chosen payment method.

How do I add or update my bank account?

You can add or update your bank account in the Payment Details section of the Supplier Hub. Enter the information requested for your selected payment method and country.

If you change your address or country, you may need to enter your banking details again. Some updates may also require two-factor authentication. If your bank is located in a different country from your profile address, contact your payer for assistance.

How do I change my payment method?

To change how you receive payments, open the Payment Details section and select one of the methods made available by your payer. Available options may vary based on your country, currency, bank location, and the payment methods enabled by your payer.

If you don’t see the method or bank country you need, contact your payer. Changing your address or country may also invalidate your existing payment method, requiring you to enter your payment details again.

How do I update my tax information?

Make sure the legal name associated with your tax identification number is entered correctly. For a W-9, the name on line 1 must match the name connected to the SSN or EIN in IRS records. For example, validation may fail if you enter an individual’s name when the EIN belongs to a business.

How do I change my email address?

Contact your payer to update your Supplier Hub login email. The email shown in your contact details may be different from the email used to log in, so simply editing the contact email will not necessarily change your login.

If you have already registered, your payer may need to use the Reset portal login email option and send a new registration invitation to the updated address.

Receiving Your Payment

How long does it take to receive my payment?

Payment timing depends on when your payer approves and schedules the payment, the payment method used, the location of your beneficiary bank, intermediary banking steps, and how long your bank takes to post incoming funds.

Even after a payment is marked as paid, the funds may not appear immediately. Delays can occur because of bank processing times, compliance reviews, intermediary banking steps, incorrect account details, or currency mismatches. Your bank may also place its own review or hold on incoming funds.

How can I tell whether my payment has been sent?

The easiest way is to check the payment status in your account, if your payer has made that available. Tipalti uses payment statuses to show where a payment is in the payment cycle.

A payment moves from Scheduled through Processing and Sent to Payee until it shows as Paid. This means the payment provider processed the transaction and sent funds to the beneficiary, but your bank may still need additional time to post the deposit.

Can I track my payment?

If your payer has enabled payment history, you can review available payment information under the Payment History tab in the Supplier Hub.

Why haven't I received my payment yet?

There are a few common reasons:

  • Your payment may not have been approved yet
  • Your payment may be scheduled for a future date
  • Your payment may still be processing
  • Your bank may still be posting the incoming transfer
  • Holidays or banking cutoffs may be causing delays

If your payment hasn’t been approved or scheduled yet, please contact the payer directly.

If your payment already shows as paid but you still don’t see the funds, your bank may be holding or reviewing the deposit, or the payment may be delayed due to incorrect account details or a currency mismatch.

You can check payment status in your supplier hub under the payment history tab.

Why did my payment fail?

A payment may be deferred or rejected if the banking or payment details on file are incomplete, outdated, or incorrect. Review and correct your details in the Supplier Hub, then contact your payer. Your payer can review the reason for the rejection and advise whether you also need to contact your bank.

Why was my payment returned?

Returned payments usually happen when the receiving bank can’t complete the deposit and sends the funds back. Common reasons include invalid account details, account restrictions, account closure, or currency mismatches at the receiving bank.

If your payment was returned, review your payment details first, then contact your payer to learn the reason for the return. You may also need to contact your bank to correct an account restriction, name mismatch, currency issue, or other banking problem.

Why is the amount I received different from what I expected?

The amount you receive may differ from the original payment amount because of:

  • Currency conversion
  • Bank processing fees
  • Intermediary bank fees
  • Tax withholding
  • Adjustments made by the company to pay you

If the expected amount itself looks wrong before fees or conversion, contact your payer directly.

Understanding Your Payment Status

Payment Status

The statuses displayed to you may vary depending on your payer’s Supplier Hub configuration and payment method. Common payee-visible statuses may indicate that a payment is scheduled, processing, sent, paid, deferred, or rejected. Contact your payer if you need more information about a status or expected payment date.

Tax Information

Why am I being asked to provide tax information?

Your payer may require tax information to meet reporting requirements, such as IRS 1099 or VAT obligations. Your profile may remain unpayable until the required form has been submitted and validated.

How do I update my tax forms?

Go to the Tax Forms tab in the Supplier Hub, select your form (W-9, W-8BEN, W-8BEN-E), and click Complete form to submit updates. If you cannot edit or resubmit the form, contact your payer for assistance.

Why was tax withheld from my payment?

Tax withholding may be applied based on the tax information on file, the payment type, or the payer’s rules.

Receiving International Payments

Which currencies can I receive?

Available currencies may vary depending on your payment method, country, and the payment routes available for your account.

Can I receive payment in my local currency?

In many cases, yes, but availability depends on the currencies and payment methods supported for your payment profile. If your local currency isn’t available, your payment may be sent in another supported currency.

Which countries are supported?

Tipalti supports payments to more than 200 countries and territories. The currencies and payment methods available to you depend on your location, your payer’s settings, and the payment method selected.

What fees may affect the amount I receive?

The final amount you receive can be affected by:

  • Foreign exchange conversion
  • Receiving bank charges
  • Intermediary bank fees

If the payment amount itself looks incorrect before these deductions, contact your payer first.

Managing Your Account

I can't log in to my account.

Make sure you are using the Supplier Hub login link provided by your payer, not the original registration invitation. Registration links are temporary and stop working after they have been used.

Also, check that the payer name on the login page matches the company you are trying to access. If your account is locked or you are still unable to sign in, contact your payer. They can confirm your login email and help restore access.

My email address isn't recognized.

Make sure you are entering the email address originally used to register for the Supplier Hub. This login email may be different from the contact email shown on your profile. Also, confirm that you are accessing the correct payer’s Supplier Hub.

If you are unsure which login email is associated with your account, contact your payer.

How do I update my account information?

You can update certain profile, payment, and tax information directly in the Supplier Hub. Some changes may invalidate existing payment or tax details and require you to re-enter them. For login email changes, locked accounts, or fields you cannot edit, contact your payer.
